Charity management software brings supporter records, fundraising and day-to-day activity into one place. Charity Pilot connects supporter CRM, gift and fund workflows, email design, service delivery and impact reporting in a simple workspace.
Private workspaces use server-checked memberships and database row-level security. A user can only access a charity where their current role permits it. Staff support access is limited to one charity and one session, expires after 30 minutes and records the person taking the action.
Yes. Every user has seven days from their first successful sign-in to verify an authenticator. The deadline cannot be reset by signing out or changing charities. After it expires, workspace access pauses until verification is complete. Staff administration requires MFA immediately.
No live AI provider is connected today. The server’s AI endpoint is closed, and a setting or request cannot enable it. Current demo assistant experiences are guided examples. Sensitive donor, beneficiary and safeguarding information is not sent to an AI provider by Charity Pilot.
Our release policy starts with keeping identifiable and sensitive records inside the charity’s protected workspace. External AI must use only approved, minimised disclosures that pass an anonymisation review. Names, contact details, bank data, passwords, identifiers, case notes and uploaded documents must not go into external prompts. Small groups, unusual events and combinations of facts can also identify people and need disclosure controls.
Charities that want their supporters, fundraising and day-to-day work to feel connected. We’re inviting founding charities to help shape the product around real teams and real missions.
Yes. Explore the interactive demo with realistic fictional records, or request a personal walkthrough. The demo is separate from private charity workspaces and should only contain fictional information.
The interactive demo covers supporters, linked parties, donations, fund allocations, email design, service delivery and reporting. Private pilot workspaces include secure sign-in, mandatory MFA, tenant access controls and reusable email content. Operational rollout is staged with each charity; live AI, email delivery, payments and accounting integrations are on the roadmap.
We’ll map your existing records, relationships, gift history, fund restrictions and contact preferences with you. Migration will be reviewed, validated and reconciled before go-live. Onboarding and migration are scoped and quoted separately.
Live AI is planned and is currently disabled. When released, the plan will include a monthly AI allowance shared by your charity, with optional prepaid top-ups approved by an administrator. The allowance and top-up prices will be confirmed before activation. Larger analyses and bulk tasks will use more allowance than short drafts.
The founding-charity price is £99 per month including three working users. Each additional working user is £15 per month. Read-only trustee access is included without AI access. For example, ten working users cost £204 per month. Prices exclude VAT where applicable; migration and onboarding are quoted separately. Pilot scope is agreed before onboarding, and exploring this site creates no payment or subscription commitment.
A working user has a named account with permission to add or change records, manage workflows or prepare content. The first three are included; additional working users cost £15 each per month. Trustees who only view permitted records and reports are included as read-only users. Supporters and donors stored in your records are not charged as users.
The planned AI service will have a visible usage meter and warnings before your charity reaches its shared monthly allowance. At the limit, AI will pause while the normal charity software remains available. An administrator can approve a prepaid top-up; there will be no automatic overage charges. Larger analyses and bulk tasks will consume more allowance, with limits on automated or repeated requests. These controls are planned and will be confirmed before live AI is enabled.
